The Caponera Law Firm, P.C. is seeking an experienced Real Estate Closing Coordinator / Title Processor to join our busy and growing real estate practice.

This is not an entry-level position. The ideal candidate must have meaningful prior experience with writing title for real estate transactions, title work, buyer and seller closings, closing coordination, and the preparation and review of closing statements and statements of sale. We are looking for someone who understands how a real estate file moves from contract to closing and who can help manage a high-volume practice with organization, professionalism, and attention to detail.

The position will focus primarily on writing title for real estate transactions, refinances, commercial transactions, lender requirements, and title company coordination is strongly preferred.

Responsibilities include:

Writing title for small, medium and large real estate transactions. 

Managing residential and commercial real estate files from contract through closing;

Reviewing title commitments, title reports, municipal searches, tax searches, surveys, payoff information, and related closing documents;

Identifying and assisting with the resolution of title issues, closing conditions, payoff matters, municipal issues, and lender requirements;

Preparing, reviewing, and coordinating closing statements, statements of sale, adjustments, tax prorations, payoff figures, title charges, recording charges, and closing figures;

Communicating directly with clients, real estate agents, lenders, title companies, opposing counsel, municipal offices, and other transaction participants;

Coordinating closing dates, lender clearance, title clearance, funding, closing packages, execution of documents, and post-closing follow-up;

Assisting with buyer and seller closings, including document preparation, closing binders, funding/disbursement coordination, and recording follow-up;

Maintaining organized client files and ensuring signed closing documents are properly saved, scanned, and available for client delivery;

Tracking open items, deadlines, mortgage commitments, title objections, tax adjustments, insurance requirements, entity documents, and closing conditions;

Providing reliable support to attorneys and staff in a fast-paced real estate practice.

Qualified candidates should have:

Prior experience working with and writing title, whether in a law firm, title company, lender closing department, or real estate closing office;

Direct experience with title work, title review, title clearance, or title processing;

Experience preparing or reviewing closing statements, statements of sale, settlement statements, and closing adjustments;

Familiarity with New York real estate transactions;

Strong organizational skills and the ability to manage multiple active files at the same time;

Excellent written and verbal communication skills;

A professional and positive attitude when dealing with clients, agents, lenders, attorneys, and staff;

The ability to work independently, follow through on open items, and keep files moving without constant supervision;

Strong attention to detail and the ability to work accurately in a busy, deadline-driven environment;

A strong work ethic, reliability, accountability, and a willingness to be part of a team.
